Marketing Coordinator

Job Description

The ORION Marketing Coordinator will be responsible for providing marketing support to multiple real estate brokers.  The Marketing Coordinator’s primary role is to provide support to the brokers in order to make the broker more efficient in servicing and communicating with existing clients (the “Support Role”) and in marketing ORION and the brokers to prospective clients (the “Marketing Role”).  These roles include, but are not limited to administrative, organizational, client interface, reporting, transactional, and marketing, promotions, and business development.   We want the best, smartest, most driven people that “get it” – that want a career in commercial real estate-one of the last segments of the economy where personal relationships, market knowledge and experience cannot be replaced by a website or new software. Those that understand that partnering with a highly successful company, with a proven method for success in the industry, will lead them to success.

Desired Skills and Expertise

  • Update space availabilities and floor plans with all MLS services – CoStar, AIR, Smith Guide, Loopnet, and customer websites.
  • Maintain and manage contact database in Outlook, CRM software and internal prospect databases.
  • Help brokers prepare for and coordinate meetings.
  • Provide research (prospect, client, etc.) via online, offline and third-party resources and provide industry-related news, as needed, partnering with research department.

  • Understand overarching goals and take initiative as a team member towards achieving those goals.
  • Prepare responses to request for proposal under the broker’s supervision and coordinate the process of finalizing the responses and delivering them to the prospect’s broker or directly to the prospect.
  • Prepare weekly/monthly leasing reports, lease analysis and proposal summaries.
  • Prepare marketing reports for the landlord clients.
  • It is expected that the coordinator will have direct contact with some of the brokers representing prospects and will request updates from them.
  • Assist team with preparing and updating client-specific reports.
  • Become intimately familiar with CoStar Tenant and create and maintain Tenant Rep Databases.
  • Support brokers in utilizing Outlook/CRM for data entry and maintenance for purposes of direct marketing and client relationship development.
  • Manage process of distribution, list updates and activity reporting.
  • Prepare, design and create property brochures, pitch books, marketing material packages including maps, aerials, team marketing pieces, flyers, lobby boards, advertisements and team branding brochures using In-Design.

Qualifications

  • Must hold, or actively be working towards California Real Estate License as a broker or salesperson.
  • Bachelor’s Degree or commensurate experience preferred.
  • Workplace experience, minimum of 3 years in administrative support role and real estate background is preferred.
  • Advanced Microsoft office product knowledge (Excel, Word, PowerPoint, and Outlook).
  • Working knowledge of Adobe Creative Suite (Photoshop, InDesign, and Acrobat).
  • Experience with mapping software (MS Streets & Trips, Street Atlas, Google Earth, etc.) a plus.
  • Adaptability – Maintain effectiveness in varying environments, tasks and responsibilities, or with various types of people.
  • Dealing with Ambiguity – effectively cope with change by shifting gears comfortably, acting without having the total picture, and handling risk and uncertainty comfortably.
  • Planning and Organizing – ability to establish course of action to accomplish goals and evaluate results, develop schedules and task/people assignments, orchestrate multiple activities at once to accomplish goals, and use resources effectively and efficiently.

Job Description

The ORION Associate should be willing to work hard in a fast paced sales environment that values initiative, creativity, developing new business relationships, self-confidence and enthusiasm for learning.  Candidates should have an entrepreneurial drive to work in a team environment and also on your own to find and develop new business.  The beginning of your commercial real estate career will emphasize business development, research and creating and using a variety of marketing materials, mediums and approaches to find and grow your relationships and business opportunities. Sales skills, particularly client development, consultative selling, needs-based selling are critical to success. Day-to-day responsibilities of an associate include: prospect tracking, financial analysis and modeling, company and industry research, preparing client presentations and interacting with senior advisors and clients.   • Demonstrable success in high level sales production and the ambition to exceed past production with consistency.
  • Proficient in Microsoft Office Suite including Excel, Outlook and Word.
